Microsoft 365 is the most widely used business productivity platform in North Central Florida — but most small businesses are using only a fraction of what they're paying for. This checklist covers everything that should be configured when setting up Microsoft 365 and what to verify if you've been on the platform for a while.
Initial Setup Checklist
Domain verification and custom email setup should be the first step — your team should be using yourname@yourbusiness.com email addresses. User accounts should be created with proper naming conventions and each user should have their own account — shared accounts create security vulnerabilities. Microsoft 365 licenses should be assigned based on what each user actually needs.
Security Configuration Checklist
Multi-factor authentication should be enabled for every user without exception. MFA prevents account compromise even when a password is stolen and is the single most effective security measure you can implement. Conditional access policies should restrict Microsoft 365 access to compliant devices where appropriate. Legacy authentication protocols should be disabled — older methods that don't support MFA are commonly exploited by attackers.
Email Security Checklist
Anti-phishing policies should be configured with impersonation protection for your domain and key executives. Safe Links and Safe Attachments should be enabled if your license includes Microsoft Defender for Office 365. DKIM, DMARC, and SPF records should be configured in your DNS settings to prevent email spoofing.
Collaboration Setup Checklist
Teams should be structured with channels organized around your actual business workflows. SharePoint should have a logical document library structure. OneDrive should be configured to sync work files locally on all company devices.
Backup Checklist
Microsoft 365 does not provide true backup. Microsoft's built-in retention policies are designed for accidental deletion recovery — not for protection against ransomware or extended data loss scenarios. A dedicated Microsoft 365 backup solution should be in place for all email, SharePoint, and Teams content.
