Microsoft 365 versus Google Workspace is the technology question we get asked more than almost any other by small businesses in North Central Florida. Both platforms are mature, capable, and well-supported — but they're genuinely different in ways that matter for how your business operates day to day.
Here's our honest assessment after helping dozens of local businesses make this decision.
The Honest Case for Microsoft 365
Microsoft 365 is the right choice for most businesses in our market for a straightforward reason: it's what your clients, vendors, and partners are almost certainly using. Document compatibility — particularly for Word, Excel, and PowerPoint files — is seamless when everyone is on the same platform. Google Docs can open and edit Microsoft files, but formatting inconsistencies are common and can create a poor impression in professional documents.
Microsoft 365 Business Standard at $15 per user per month includes Outlook, Word, Excel, PowerPoint, Teams, SharePoint, and OneDrive. For businesses in regulated industries like healthcare, legal, and accounting, Microsoft's compliance and security features are more mature and better documented than Google's equivalents.
Teams has also become the dominant business communication platform in North Central Florida — most businesses your team interacts with are on Teams, not Google Meet.
The Honest Case for Google Workspace
Google Workspace has genuine strengths, particularly for collaboration. Google Docs real-time collaboration is more seamless than Microsoft's equivalent and the web-based nature means nothing needs to be installed. For businesses that do heavy document collaboration — creative agencies, startups, businesses with lots of remote workers — Google's approach is genuinely better.
Gmail is also excellent and many users prefer it over Outlook. And for businesses already deep in the Google ecosystem — Android phones, Google ads, Google Analytics — Workspace integrates naturally.
Our Recommendation for Most Ocala Businesses
For the majority of small businesses in Ocala and North Central Florida, Microsoft 365 is the right choice. The document compatibility, Teams integration, compliance features, and alignment with what your clients and vendors are using outweigh Google's collaboration advantages for most business contexts.
The exception is businesses that are heavily collaborative and don't frequently exchange formal documents with outside parties — for those businesses Google Workspace is worth serious consideration.
