The Challenge

Outdated workstations, no controlled substance security cameras, and slow practice management software

The practice had been operating for over a decade and the technology reflected it. Workstations that had been adequate when purchased were now struggling to run the latest version of their practice management software. Loading a patient record took noticeably longer than it should. Running digital radiographs sometimes required a second attempt. The network had never been formally designed — it had simply grown over the years as equipment was added.

The more pressing concern was compliance. A DEA inspection had flagged the absence of security cameras covering the controlled substance storage cabinet and the dispensing area. The inspector noted that the practice needed to demonstrate adequate physical security controls — and gave them a deadline to address it.

What We Did

Workstation replacement, network optimization, security camera installation, and imaging system integration

Simply IT started with a complete technology assessment — inventorying every device, mapping the network, and identifying the root causes of the performance issues. The assessment found that three of the five clinical workstations were running hardware that was significantly below the minimum specifications recommended by the practice management software vendor. The network had no formal segmentation and the WiFi access point was a consumer-grade device being overloaded by the combination of staff devices, client waiting room access, and diagnostic equipment.

The workstations were replaced with properly specified clinical workstations. The network was restructured with a business-grade firewall and managed WiFi — separate networks for staff systems, diagnostic equipment, and client guest access. The imaging system integration was reconfigured to communicate properly with the practice management software, eliminating the connection failures that were causing duplicate radiograph captures.

The DEA compliance requirement was addressed with a six-camera IP security system covering the controlled substance cabinet, dispensing area, pharmacy storage room, and two facility entry points. The cameras were integrated into the clinic's network with remote viewing capability and 30 days of local recording retention. Access control was implemented on the pharmacy storage room door. Documentation of the system was prepared for the follow-up DEA inspection.

The Result

Significantly faster system performance and full DEA compliance achieved

The performance improvement was immediately noticeable. Practice management software that had been sluggish on the old workstations ran smoothly on the new hardware. The imaging system integration worked correctly on the first attempt — the duplicate capture issue was eliminated entirely. Staff reported that the technology was no longer a source of daily frustration.

The DEA follow-up inspection was completed successfully. The inspector reviewed the camera system, the access control on the pharmacy storage room, and the documentation Simply IT had prepared. The compliance finding was resolved without any penalties or further required actions.

The clinic owner chose to continue with Simply IT under a managed IT agreement following the project. The system is now proactively monitored, workstations are managed and maintained, and the security camera system is supported locally. The clinic has a single technology partner handling everything — rather than the mix of vendors and ad-hoc support they had relied on previously.
