Microsoft Teams Phone is the right VoIP choice for many small businesses already on M365 — but not all. The fit calculus comes down to four factors. (1) Are you already on M365 Business Standard or Business Premium? Teams Phone licensing layers cleanly on top — either Teams Phone with Calling Plan ($$+) or Teams Phone with Direct Routing (cheaper per-seat at scale, but requires an SBC). If you're not on M365, the case is weaker. (2) Do your employees already live in Teams? Teams Phone shines when calls integrate with Teams chat, calendar presence, and meeting workflows. If your team uses Slack + Google Workspace, the integration value disappears. (3) Do you have specialty workflows (contact center, advanced ACD, CRM-deep integration)? Teams Phone's call queues and auto-attendants are solid for small business, but heavier contact center features push you toward RingCentral or Nice CXone. (4) Budget: Teams Phone with Microsoft Calling Plan runs about $20/user/month for the add-on (plus the Teams Phone license itself). Direct Routing is cheaper per-seat but has SBC + carrier costs. The Microsoft 365 E5 license bundles Teams Phone but is overkill for most small businesses.
